How we plan a production that holds up on the day
From the first call to the final sound check, our process is built to remove surprises. We shape the system around your venue, your timeline, and your guests, then stay with it until the job is done.
Six steps that remove surprises
From the first conversation to the final cue, every step is designed to make event day calmer, clearer, and more dependable.
Discovery call
Every project starts with a conversation. We learn about your event — the type, the venue, the guest count, the atmosphere you want to create. Whether you are a wedding planner coordinating from abroad or a hotel manager preparing for a seasonal program, this call gives us the foundation to design the right system. There is no obligation and no generic quote. We listen first.
Site survey
We visit the venue in person. Dalmatian venues — stone fortresses, clifftop terraces, island courtyards — present acoustic and logistical challenges that cannot be solved from a photo. We measure the space, assess power supply, identify speaker positions, check sight lines for lighting, and note access routes for equipment load-in. For destination clients who cannot attend, we conduct the survey on your behalf and share a detailed report with photos and recommendations.
System design
Based on the discovery call and site survey, we design a complete production plan. This includes speaker placement and coverage mapping, lighting design, staging layout, DJ or live music setup, and any video or projection requirements. Every element is chosen to suit your specific venue and event — not pulled from a standard inventory list. We present the design in plain language with visual references so you know exactly what to expect.
Quote & confirmation
You receive a detailed, transparent quote that itemises every piece of equipment, every crew member, and every service. No hidden fees, no surprise additions on the day. We walk you through the quote line by line if needed. Once confirmed, your date is locked in our calendar with a dedicated project manager assigned to your event from this point forward.
Delivery & sound check
Our crew arrives well ahead of your event to set up, tune, and test every system. Speakers are positioned and calibrated for the space. Lighting is programmed and focused. Microphones are tested. Backup equipment is staged and ready. We run a full sound check with the DJ, band, or MC to ensure everything performs exactly as designed. By the time your first guest arrives, the production is invisible — and flawless.
Event support
A Cosmic Production technician remains on-site throughout your event. They monitor sound levels, adjust lighting cues in real time, manage transitions between ceremony, dinner, and party, and handle any unexpected changes. If the wind picks up on a clifftop terrace or a last-minute speech is added, we adapt immediately. You never have to think about the technical side — that is our job.
Why this starts with planning, not a gear list
We are not here to drop off boxes and hope for the best. We are here to shape the whole production around the reality of your venue.
Custom System Design
Rental houses offer a fixed menu. We design every system from scratch based on your venue, your event, and your vision. Two weddings at the same venue may get entirely different setups depending on the couple's preferences and guest count.
Dedicated Crew On-Site
We do not drop off equipment and leave. A trained technician stays for the duration of your event — monitoring levels, adjusting lighting, and solving problems before you even notice them. This is production, not rental.
Local Venue Knowledge
We have worked at venues across Dalmatia — from Diocletian's Palace courtyards to Hvar island fortresses. We know the power limitations, the noise restrictions, the load-in routes, and the weather patterns. This knowledge prevents problems that no amount of equipment can solve.
Built-In Redundancy
Every critical component has a backup on-site. Backup mixer, backup speakers, backup cables, backup DJ controller. Your event happens once — we plan for every contingency so nothing interrupts it.
Single Point of Contact
One project manager handles everything — sound, lighting, DJ coordination, vendor communication, and day-of logistics. You make one call, not five. This simplifies planning for wedding planners and venue managers alike.
